RFID Specification for Multi-Property Groups
We standardise the product platform without flattening the properties. A hotel group can share card dimensions, wristband bodies, artwork rules and approval records. It cannot assume that every property uses the same credential, reader estate, guest journey or material exposure.
Start with the manufactured product
We begin with a group matrix: property, installed environment, product body, credential, artwork variant and issue population. Common decisions become controlled standards; differences remain visible rather than being buried inside a single catalogue description.
This guide stops at the manufactured specification. Consolidated freight, customs documents and receiving structures belong to RFID Caribe’s logistics axis and are deliberately not reproduced here.
The common card platform is physical, not automatically technical
CR80 at 85.6 × 54 mm and 0.76 mm can be the group card standard. Surface, finish and artwork zones can also be shared. The embedded 125 kHz LF or 13.56 MHz HF/NFC credential is recorded property by property.
Two cards may therefore look identical while carrying different approved technical constructions. Their production codes and cartons remain distinct so visual consistency never turns into a compatibility assumption.
Island use profiles create legitimate material variants
A water-facing Bahamian resort may keep silicone as the wearable standard, while a room-card-led Barbados property uses wood or plant-based board. A Jamaican all-inclusive may require a non-transferable entitlement band that would be unnecessary at a smaller boutique hotel.
We document those as governed variants within the group range. Standardisation succeeds when every exception has a reason, not when every property receives the same object.
Artwork uses a master system and local proofs
Typography, logo rules, colour families and reverse-face hierarchy can sit in a group master. Property names, access classes, local instructions and material-dependent finishes remain on separate proofs.
Each distinct design carries the 500-piece minimum. A master brand file reduces approval drift; it does not merge quantities for different printed property versions.
Testing remains accountable at each property
The group technical standard records the supported credential for every installed environment and names the test owner. A sample approved at one property is not evidence for another property with different doors, lifts, lockers or leisure readers.
Where several reader classes exist on one site, the test scope lists them separately. We manufacture after those results are attached to the property record, not after a group-level compatibility sentence.
Group governance needs named product owners
The shared specification identifies who can approve a platform change and who can approve a property-only variant. Without that division, one local artwork correction can accidentally become the new group master, or a central material decision can overwrite a justified island exception.
We issue revision identifiers for the master and for every dependent proof. A property order cites both, allowing the manufacturer to establish which common rules and which local decisions were active when the batch was released.
Reorders preserve the matrix rather than bypass it
A repeat order returns to the property row in the group matrix. The product body, credential, artwork variant, quantity and test status are reconfirmed even where the group identity has not changed.
This prevents a successful card from one island being repeated for another property solely because the artwork is approved at group level. The matrix shortens a valid repeat while still exposing the differences that make a universal shortcut unsafe. It also gives the group a clear record of which variation is intentional when finance or operations compares products across the portfolio. The comparison therefore remains tied to evidence.
When group standardisation is wrong
One universal credential is wrong when the installed systems differ. One universal material is wrong when the wear and water conditions differ. One universal artwork file is wrong when property instructions, languages or visible access classes differ.
We narrow the shared standard to what is genuinely common and keep the rest as controlled variants. The group gains repeatable manufacturing without forcing an island property to use a product that contradicts its operation.
