Reorder and Stock Planning for Hotel Credentials

We repeat the approved product record, not the memory of the last order. A reorder is reliable when the body, credential, artwork, variable data and design quantity can all be traced to an approved production reference. Island operating patterns affect consumption, but they do not justify silently changing the product.

Start with the manufactured product

We retain the specification and artwork reference used for the manufactured batch. Before repeating it, the property confirms what remains current: installed system, product body, finish, design version, quantity and any numbering range.

The minimum remains 500 pieces per design. A group total cannot hide several small artwork variants, and old stock cannot be treated as interchangeable when its credential or visible access class differs.

The retained sample anchors the physical repeat

A retained card or band establishes colour direction, surface, placement and construction more clearly than a thumbnail in a purchase record. We compare the repeat proof to that sample while allowing for normal material variation where wood, fibre or textile is involved.

The sample does not replace technical confirmation. If the property has changed readers, issuing software or credential policy, the electronic specification is reopened before production.

Consumption is recorded by product and design

Room cards, reusable silicone bands and controlled-duration woven bands leave stock at different rates. We keep their quantities separate so a fast-moving card line does not create an unnecessary repeat of a slower wearable line.

Jamaican all-inclusive entitlement colours, Cayman owner-versus-guest credentials and Bahamian day-use classes can all create variants. Each design is counted against its own issue and replacement record.

Artwork versions do not overwrite history

A corrected phone number, property name, tier colour or reverse-face instruction creates a new approved version. We archive the superseded file and place the current identifier on the repeat order so both versions cannot be released by mistake.

Unused older stock is reviewed before the change. If it remains technically and operationally valid, the property decides how it will be exhausted; if not, it is kept out of the new issue sequence.

Variable sequences resume from evidence

Numbered or encoded runs require the last accepted range and the next approved start point. We reconcile the supplied data file to the physical order quantity and record any intentional gaps.

A guessed continuation can duplicate a live credential or create an unexplained break. We hold the variable run until an accountable file replaces the guess.

Returned and failed products provide manufacturing evidence

Where a property can retain examples of worn, damaged or unreadable credentials, those units are more useful than a general complaint. We compare edge wear, print loss, closure failure, module damage and visible contamination against the approved construction and recorded use.

The result may support an unchanged repeat, a finish adjustment, a different closure or a change of product body. It does not justify changing the embedded credential without system evidence. Physical durability and technical compatibility remain separate investigations.

Opening stock and reserve stock remain identifiable

A high-consumption island resort may split a repeat between immediate issue stock and an unopened reserve. We can label those packs against the same production batch so the property knows which units have entered circulation and which remain protected as replacement stock.

This is stock control, not a delivery forecast. The reorder decision still comes from actual issue, loss and replacement records, and no production timing is assumed or published in the guide. Reserve packs remain tied to the same design and credential reference as the opening stock.

When a repeat order is wrong

A one-click repeat is wrong when the system, artwork, property name or access classes have changed. Combining unrelated designs to reach 500 pieces is wrong because the minimum applies per design.

It is also wrong to reproduce a material solely because the previous stock looked attractive if actual use showed edge wear, moisture damage or an unsuitable closure. The reorder record exists to improve the next manufactured batch, not preserve an old mistake.
